Dear Tenant,

Recently it has come to {my/our} attention that the level of noise coming from your {apartment/condo/unit} is in excess, and is causing a great deal of disturbance to your neighbors.

{I/we} know there have been several instances when other tenants have had cause to complain to {me/us} and/or the police with regard to the noise. Specifically, these incidents have been documented:

Part of your lease agreement requires that you maintain a respectful level of noise in your {apartment/condo/unit} . {We/I} understand that sometimes noise is out of your control, but these incidents are becoming too frequent, and unless you are able to quickly modify the behavior {we/I} will be forced to take action that may include evicting you from the premises.

This letter will go into your file, and serve as evidence that you were officially warned about the noise level. Please take this seriously, as we already have ample cause to terminate your lease.

In other words if you receive a letter of complaint from a tenant that is always on time with their rent and a letter of complaint from a tenant that owes you rent you are bound by law to respond to them both and ACT on them both. Just because a tenant owes rent it does not mean that you do not have to respond to the complaint letter as a matter of fact if you do not respond to the complaint letter than you are actually putting yourself at greater risk of not being able to collect any rent that is in arrears from the tenant. The Process Once a tenant informs you that there is an issue within the space they rent it is your due diligence to check on the complaint. There are certain complaints that cannot wait to be addressed and you have a very short suspense time frame to address the complaint. Other complaints you have more time to address. Heat in the winter, broken pipes, gas issues, electrical issues all have to be addressed within a very short period of time. Please also note that EMAIL can be considered official correspondence if the tenant has the presence of mind to ask for a read receipt. Responding When you receive a letter of complaint to the landlord the first thing to do is acknowledge receipt. Once you have acknowledged receipt review the complaint decide if it is something that can wait like painting the bathroom or the need for carpet replacement or if it is something you need to do something about right away like faulty electrical issues or a leaking pipe (beyond a faucet). You should respond in writing so that everyone is clear and on the same page. Always keep everything on the professional level and clear and to the point. If it is something that can wait that means something that does not threaten the health of the tenant or the property than you can state that in the response. The Most Important Thing to Remember The most important thing to remember is that you have to respond! Mice are cute when they are in a cotton field. They are not so cute when they are in scratching the walls in your apartment. They are a health hazard, nuisance and sometimes frightening. They can be disruptive and even stressful to deal with. Mice do not wear diapers.

If you have discovered a mouse or two in your apartment, contact your landlord or apartment manager. As a property owner, he or she should pay for pest removal services. If your landlord has not responded to your phone calls, it is time to write a complaint letter.

A complaint letter provides an opportunity for him/her to develop an action plan before responding. It also demonstrates the seriousness of the matter. If you can, type the letter. Most libraries and some community centers have free access to printers. Try to write the letter in business letter format.

Dear Mr. Comiskey,

I am the tenant for apartment #413c in the Apple Orchard View Apartment Complex. I signed my lease in July 2016 and moved in on August 1st. Overall, I have been pleased with the apartment. The size is perfect for me, and it is conveniently close to school and shopping. I also love the amenities, especially the fitness center.

However, last Thursday, my usually quiet apartment received an uninvited guest. I discovered a mouse. From my investigation, the mouse crawled in through a crack in my neighbors wall near the refrigerator. Also, because I noticed some mouse droppings behind my fridge, I believe there are more hiding out in the apartment complex.

I left you a voice mail and text about this issue but have not heard back. This letter is my next attempt at trying to resolve the issue. I am asking that you please schedule a visit with an exterminator no later than Friday, October 14th.

Dear Mrs. Murayama,

My family and I live in apartment 501D in Canyon River Village. We signed our lease almost two years ago, in May 2016. This apartment complex has been a good fit for me and my children.

However, unfortunately, we have recently discovered a serious problem. We have found mice droppings in our kitchen and pantry. This concerns me greatly as I have young children. I have discussed this with two of my neighbors, and they have both said that they have seen mice in the apartments.

Mr. Murayama, I am kindly asking you to please address this problem immediately. I would like to suggest that you hire an exterminator. Please schedule one no late than Friday, March 18th.

My family and I would be more likely to renew our lease if the mice problem is taken care of. We would also be more likely to recommend Canyon River Village to friends.

Dear Mrs. Hardwick,

I am a freshman at East Riverview. I live in room 347 the Scarborough Dorm. I am writing to inform you of a serious problem in campus housing.

Yesterday, my roommate and I both spotted a small, gray mouse in the dorm. We are asking to you please address this situation immediately.

Mice are not only annoying, they are a health hazard,. Remember, they do not wear diapers. They can interfere with studying, sleeping and just enjoying college life.
